Cash payments

Even in a digital-first economy, cash payments remain a common and preferred option for many customers—especially for local venues and high-demand reservations that require in-person confirmation. With Reservation.Tools, you can efficiently manage and track offline deposits by recording them directly in the system.

Whether a customer walks in to secure a table for a special event or wants to leave a deposit in advance, the cash payment option allows you to keep all payment records centralized and updated in real time.

How It Works

When a guest visits your venue to leave a deposit in cash, your staff can quickly:

  1. Open the reservation in the app

  2. Select “Add Payment”

  3. Choose “Cash” as the payment method

  4. Mark the reservation as paid

This simple process eliminates paper-based tracking or separate notes, ensuring that all deposits—whether online or offline—are reflected in the same system. Paid reservations will appear in orange, allowing you to easily differentiate between confirmed and pending bookings.

Benefits for Venues That Accept Cash

  • Centralized Tracking: Even if a customer pays outside of digital channels, the reservation status remains accurate and visible across your system.

  • No Missed Deposits: With the ability to log cash transactions directly, you avoid mistakes or forgotten manual entries.

  • Streamlined Front-of-House Operations: Host staff can verify payment status at a glance, without asking guests to provide receipts or confirmation.

  • Useful for Special Events and Advance Bookings: For occasions like New Year’s Eve or private parties, when cash deposits may be required by a certain deadline, staff can easily confirm payment status in-app.

Use Cases

Cash payments are commonly used for:

  • Advance deposits for high-traffic dates

  • On-site reservations

  • Walk-in guests confirming a future booking

  • Events requiring physical presence before confirmation

For example, if your venue requires a deposit by a fixed date for a major event, guests can visit in person, pay in cash, and receive confirmation on the spot. Staff simply mark the payment in the app, ensuring a smooth and verifiable process.

Enabling Cash Payments in Your System

To use this feature, you must first activate cash as a payment method from your admin panel:

  1. Go to Venues > Settings > Integrations

  2. Enable Cash Payments in the list of available options

Once enabled, this method will appear in the reservation workflow alongside card and bank payment options.

Why It Matters

Cash payments may seem straightforward, but without proper tracking, they can lead to errors, confusion, or disputes. Reservation.Tools solves this by treating all payment types equally within the system. Whether the transaction is digital or offline, your team has full visibility into who paid, how they paid, and when.

By recording offline payments in the same system used for card and bank transactions, you maintain operational consistency and improve accountability.

Bring structure and clarity to your in-person transactions. Enable and manage cash payments through Reservation.Tools to keep every reservation secure and fully accounted for, regardless of how the deposit is made.
