Pre-Arrival Reminders (X Hours Before)

The reminder that turns no-shows into cancellations.

Most no-shows aren't bad faith. A Monday booking made on Thursday is forgotten by Saturday — life got busy, a calendar conflict slipped, someone meant to cancel and didn't. A well-timed reminder fixes most of them before they happen.

Pre-Arrival Reminders send a reminder SMS, email, or both — a number of hours before the reservation you choose. Three hours feels right for same-day bookings. Twenty-four hours catches most advance bookings. Some venues send both: a day-before email and a morning-of SMS. The message itself is template-driven, localized, and includes the reservation details and a cancel link.

The cancel link matters more than the reminder itself. A guest who remembers but can't make it uses the link instead of ghosting — your table gets freed for a walk-in, not wasted. Over a quarter, the reminder-plus-cancel-link combo typically cuts no-shows by 30-60% depending on venue type.

Reminders respect the reservation status — confirmed bookings get them, canceled or already-seated ones don't. Delivery is tracked (see: notification delivery tracking), so when a number is dead or an inbox bounces, you know.

Key benefits

1

Configurable timing

Pick the hours-before that suits your venue: 3, 6, 24, or multiple reminders.

2

SMS, email, or both

Reach the guest on the channel they read. Both channels combined is the most effective.

3

Cancel link included

Guest who can't make it uses the link — you free the table instead of losing it.

4

Templated and localized

Message in the guest's language, restaurant branding, always on-tone.

5

Status-aware

Only confirmed reservations get reminders. Canceled or seated — skipped.

How it works

  1. 01

    Pick the timing

How many hours before the reservation should the reminder go out? 3, 6, 24 — your call.

  2. 02

    Pick the channel

SMS, email, or both. Most venues send both for peak slots.

  3. 03

    Customize the template

Add venue name, address, reservation details, cancel link, any custom wording.

  4. 04

    Reminder fires

Background job sends the reminder at the right moment per reservation.

  5. 05

    Guest acts

They confirm (by showing up), cancel (via the link), or reschedule. Either way, you know.

Cut no-shows without lifting a finger

A reminder at the right moment prevents most no-shows. Templates, timing, and cancel links all built in.
