Reservation Management

Reservation Comments & Internal Notes

Every team member sees the same story behind the booking

A reservation is more than a name and a time. "Anniversary, bring the champagne", "Guest in a wheelchair, table by the entrance", "Last visit: allergic to nuts — tell the kitchen". Reservation.Tools gives every booking a comment field so nothing gets lost between the booking and the shift.

The comment can come from the guest via the online form, or your staff can add it after a phone call. Either way, it travels with the reservation — visible on the floor plan, the print-out, and the shift report.

Why it matters

Most service friction comes from missing context. The manager took the call, but the hostess seats the guest, and the waiter serves them. Written comments remove the need to remember or pass messages verbally. Every team member sees the same thing.

Real examples

"Birthday cake at 9pm — already paid." "Guest is VIP, comp the first drink." "Table 12 — please no loud music, hearing aid." "Arriving from a long drive, seat immediately, no drinks menu." All captured in one field, read in one glance.

Key benefits

1

Context travels with every booking

The comment sits on the reservation — visible from the floor plan, the list view, and the print-out. No more lost sticky notes.

2

Capture guest requests from any channel

The online form has an optional Comment field. Phone calls and walk-ins can have notes added directly by staff.

3

Flag allergies and accessibility

Write it once, read it every time that guest books. Pair with the customer CRM to make the note permanent.

4

Handoff between shifts

Manager takes the call at 11am, the 7pm host reads the same note. Nothing falls through the cracks.

5

500-character limit keeps it scannable

Short enough to read in a glance, long enough for the full request. No novel-writing, no missed detail.

How it works

  1. 01

    Add the comment when creating

The reservation form has a <strong>Comment</strong> field. Use it for the guest's request or your own reminder.

  2. 02

    Edit any time

Open the reservation from the floor plan or the list and update the comment. All devices see the change live.

  3. 03

Read it on the floor plan

Reservations with comments show a visual indicator. Tap to read the full note before seating.

  4. 04

    Print with the reservation

Quick Print includes the comment — useful for printing the night's reservations for the kitchen or the host stand.

  5. 05

Link repeat notes to the CRM

For recurring info (allergies, preferences) use the customer profile — it auto-fills into every new booking by that guest.

Stop losing the story behind each booking

One comment field, read by every team member, every shift.
